Responsibilities
- Monitor flights and shipment schedules and statuses during evening EST hours
- Track real-time updates, including delays, and flight cancellations using internal tracking systems as well as external carriers' tracking portals
- Proactively identify potential shipment delays and operational issues
- Communicate promptly with internal teams any identified operational issues, shipments, and flight delays
- Maintain accurate records of flights and shipments activities including tracking numbers, delivery confirmation, and incident reports
- Interacting with vendor and carrier inquiries
- Review and submit required documentation to our delivery partners
- Investigation of parcels and vendor concerns through multiple avenues
- Ability to work through a daily task list, and monitor emails daily to update different types of data throughout the day
- Quickly learn how different systems work and how to effectively use them
- Communicates effectively with Operations team members and leads
- Run reports and troubleshoot issues as needed
- Enter key performance indicator data accurately and on time for multiple vendors
- Review data for deficiencies or errors, correct any incorrect information
- Provide feedback and find pain points in the process, gather information for internal systems, and work on projects as needed
- You will be expected to work on a fixed schedule and be responsive during your set hours
- You will be expected to work on a fixed schedule from 6 PM - 2 AM EST, Tue - Sat or Mon - Fri.
You have many of the following:
- Proficient English written and verbal skills
- Familiarity with relevant software tools such as Zendesk, ERP systems, logistics software, or CRM tools is a plus
- Excellent Microsoft Excel skills
- Proven experience in monitoring operations, preferably in logistics or transportation
- Understanding of international shipping regulations, customs procedures, or international logistics considerations
- Excellent time management skills and a demonstrated ability to meet deadlines and manage time effectively in a fast-paced environment
- Strong attention to detail and ability to manage multiple tasks efficiently
- Strong analytical skills, and the ability to analyze data and trends to identify potential issues or areas for improvement in vendor operations
- Excellent problem-solving skills and a capability to independently troubleshoot issues that arise during monitoring and tracking processes
- Process-oriented and able to understand how different pieces of information connect
- Self-starter with an eye for process improvement
- Excellent communication and presentation skills, both verbal and written
- Ability to multitask, prioritize and manage time effectively
- Self-motivated, positive attitude, Team player
- Able to quickly understand and implement process changes
